Terms and conditions

  • This event is open to anyone aged 12 and over.
  • Participants aged 16-17 years MUST have parental consent. 
  • Participants aged 12 to 15 MUST be accompanied by a registered participating adult. 
  • Participants must agree to abide by the Participant Safety Brief.
  • Participants pledge to raise a suggested minimum of £50

 

1. General

I, the primary entrant (or team captain), am responsible for providing the correct, required information for all participants entered within an online entry form. By agreeing to these terms as the primary entrant, I agree to the event terms and conditions on behalf of all participants entered within an online entry form. The primary entrant is anyone registering a participant other than or as well as themselves.

You must be aware that photographs and video footage taken during the event may be used to publicise this event and the work of Children's Hospice South West (CHSW) generally and may also be used by other charities as part of a franchise agreement.

I am aware of the distance of this event and I confirm I am healthy and fit enough to take part. I agree that medical advice should be sought from my GP if I am in any doubt as to my physical ability to participate in this event.

CHSW cannot be held responsible for any damage or loss to participant’s personal belongings, items of clothing, shoes, equipment or vehicles.

All participants taking part in an event do so at their own risk. In no event shall CHSW be liable for any injuries, loss or damages whatsoever, including indirect, punitive, special, incidental or consequential losses connected with any aspect of this event.

CHSW reserves the right to update their terms and conditions in relation to the event at any time or prior to the event day.

2. Booking process, prices and payment

I agree to receive emails, postal mail and texts regarding my participation in this event, including fundraising information, key event information and health and safety advice during the event itself.

I agree that I have a legal responsibility to ensure that all sponsorship money collected in respect of my fundraising efforts is paid directly to CHSW within 3 months of the event day. If I am unable to take part in the event, all sponsorship money will be treated a donation, unless the donor requests the return of their sponsorship in which case individual donors must be contacted by the participant, who must then ask them to contact CHSW directly.

CHSW reserves the right to close registration when participant levels reach capacity.

3. Safety

Any participant who acts negligently, maliciously, with wilful misconduct or otherwise without due care and attention for the event or other participants, to cause the participants removal from the event, will not be entitled to a refund. The event organiser reserves the right at any time to remove participants from the event.

CHSW reserves the right to cancel individual registrations or refuse entry to individuals, should there be a just cause

4. Changes to the event and cancellation

  • I am aware the event organiser reserves the right to change the course distance, the event date, changes to the course, or make any other amendment to the event that they deem necessary to stage the event.  Any change to the event will be communicated to me as soon as possible. Should the event date be changed, your registration will be automatically transferred to the new date, or a refund offered on request.
  • In the unlikely event that CHSW has to cancel the event, all participants will be contacted about a registration fee refund and any sponsorship money received by CHSW can be refunded on the request of the sponsor. 
  • The event organiser reserves the right to alter the start time of the event. In the event of a change of start time the participants will be notified of the revised start time with as much notice as reasonably practicable. No refund or in part shall be made for any change in start time for an event provided the event takes place on the specified date of the event.
  • If you are unable to participate, in extenuating circumstances, on authorisation from the fundraising manager, CHSW will refund any monies relating to your registration fee, after a deduction of a £5 admin fee. Any documentation sent to you (such as running number) must be returned before the refund is processed.

Moonlight Memory Walk Cornwall

For those who have purchased a ticket for the event at The Lost Gardens of Heligan please ensure you read this carefully: 

  • Walkers must stay on the lit paths and walk two abreast on narrow sections  
  • Walkers should stay aware of slip/trip hazards and path edges to avoid injury and therefore request you also bring a torch. 
  • No consumption of alcohol is allowed; if a walker is suspected to be under the influence of alcohol or drugs they will not be allowed to take part. 
  • Please ensure you bring appropriate clothing for cold or wet weather. 
  • Walkers must wear their walker number at all times.
  • No walker will be allowed to begin the walk before we officially start the walk, nor leave after the back marshals have set off. 
  • To ensure we can safely manage groups at this year’s event only participants with a walker number will be permitted entry into The Lost Gardens of Heligan and the event village. Spectators and guests will not be allowed to join you. 
  • We will be doing staggered starts from 8pm in groups on 30 every few minutes. 

Moonlight Memory Walk Clevedon

For those who have purchased a ticket for Moonlight Memory Walk Clevedon, event please ensure you read this carefully:  

  • Walkers must stay on the lit paths and walk two abreast on narrow sections   
  • Walkers should stay aware of slip/trip hazards and path edges to avoid injury and therefore we request you bring a torch.  
  • The walk will take place along the Seafront, and walkers must stay on the designated route and not stray off on to the beach. To do so is at your own risk. 
  • No consumption of alcohol is allowed; if a walker is suspected to be under the influence of alcohol or drugs they will not be allowed to take part.  
  • Please ensure you bring appropriate clothing for cold or wet weather.  
  • Walkers must wear their walker number at all times.
  • No walker will be allowed to begin the walk before we officially start the walk, nor leave after the back marshals have set off.  
  • To ensure we can safely manage groups at this year’s event only participants with a walker number will be permitted to take part in the event, and join the event village. Spectators and guests will not be allowed to join you.  
  • We will be doing staggered starts from 7pm in groups of 25 every few minutes. 
  • Part of the route will take in Clevedon Pier. Walkers must not go near the edge of the Pier and must stay a safe distance away from the edge when walking along the Pier.

Moonlight Memory Walk Devon

For those who have purchased a ticket for the event at Powderham Castle please ensure you read this carefully:  

  • Walkers must stay on the lit paths and walk two abreast on narrow sections   
  • Walkers should stay aware of slip/trip hazards and path edges to avoid injury and therefore request you also bring a torch.  
  • No consumption of alcohol is allowed; if a walker is suspected to be under the influence of alcohol or drugs they will not be allowed to take part.  
  • Please ensure you bring appropriate clothing for cold or wet weather.  
  • Walkers must wear their walker number at all times.
  • No walker will be allowed to begin the walk before we officially start the walk, nor leave after the back marshals have set off.  
  • To ensure we can safely manage groups at this year’s event only participants with a walker number will be permitted entry into  the event village. Spectators and guests will not be allowed to join you.  
  • We will be doing staggered starts to ensure the safety of our walkers. 
  • By registering for Moonlight Memory Walk, you agree that you are happy to be entered in to the ‘Moonlight Memory Walk Prize Draw’
  • Any individual who raises sponsorship of over £100 will be entered in to the draw. The ‘Moonlight Memory Walk Prize Draw’ is for individuals who raise beyond the required amount of sponsorship, and no entry fee is paid for this competition
  • Participants are encouraged to raise sponsorship, as your registration fee only covers the cost of your participation in the event.
  • For clarity, an ‘individual’ is the person who raises the most sponsorship on their own, through their own individual efforts.
  • The closing date for the competition is 4 weeks after the event on 7 December 2024 and all sponsorship monies must be received by CHSW by this date. Any money received after this date will not go towards the competition but will still be received and recorded under the individual’s record. The competition will then be drawn two weeks after this date to allow for administration of the sponsorship.
