Privacy policy

CHSW are committed to protecting your personal information. We value your support and respect your privacy. We take our commitment to you and your data seriously and as such this policy is written in accordance with the Data Protection Act 1998.

This policy is concerned with how we collect information, what we do with it and what controls you have.  This is in connection with our websites, social media pages, emails and text messages which we send to our supporters, customers and users.

This Privacy Policy does not apply to personal data provided to CHSW by any other means or via any other website. Users should be aware that if they access other websites, using the links provided, these are outside our control. If they provide personal data to other companies, the privacy polices of those companies determine the uses to which that information is put and CHSW's Privacy Policy will no longer apply.

What information do we collect or use?

There are some sections of our site that ask you to register for access to documents, other download items or to instigate contact with CHSW. Any information you provide will remain CHSW's property and under no circumstances will it be sold or rented to a third party unless specified otherwise.

CHSW may use your contact information to send you company and product information that you requested, and for marketing analysis of our website traffic unless specified otherwise. In addition to any personal information you may provide, CHSW may use software or other tools that enable us to collect specific technical information like your Internet protocol (IP) address, your computer's operating system, your browser type, traffic patterns and the address of any referring websites. CHSW monitors how a visitor arrives at our website, but cannot and will not gather information about other sites the visitor has been on.

What will we do with your personal information?

CHSW may use your personal information for the following purposes:

  • To enable you to use the site without repeatedly entering passwords or logins.
  • To provide information or services that you have requested.
  • To help us manage our content to ensure it is relevant and appropriate to you.
  • To alert you to company news, product upgrades, other updated information and new products and services from CHSW 
  • To send you company and product information and news via our electronic newsletter or by postal mail.
  • It is standard CHSW practice to easily allow you to remove your name from our distribution or marketing lists by clicking on the link provided within each electronic communication. Alternatively you can send an email to enquiries@chsw.org.uk with a request to be unsubscribed from a specific list.

Email

You may decide to send us personally identifying information, for example, in an electronic mail message containing a question or comment, or by filling out a web form that provides us this information. We use personally identifying information from email primarily to respond to your requests. We may forward your email to other employees who are better able to answer your questions.

If you sign up for one of our email lists, we will only send you the kinds of information you have requested and you will always have the option to unsubscribe from them. We will not share your name or email address with any outside parties.

Your credit card information

If you use your credit/debit card to donate to us, buy something or make a booking online, we pass your credit/debit card details securely to our payment processing partner, PayPal and/or WorldPay, as part of the payment process. We do this in accordance with the Payment Card Industry Security Standard, and do not store the details on our website.

Job and volunteer applicants

If you apply to work or volunteer for CHSW, we will only use the information you give us to process your application and to monitor recruitment statistics. If we want to disclose information to someone outside CHSW - for example, if we need a reference, or need to get a 'disclosure' from the Disclosure and Barring Service (DBS) - we will make sure we tell you beforehand, unless we are required to disclose this information by law.

If you are unsuccessful in your application, we will hold your personal information for six months after we've finished recruiting the post you applied for. After this date we will destroy or delete your information.

Supporters under the age of 18

When you register with us, you are stating that you are over 18 years of age or are a minor acting with parental consent so please ensure you have consent of your parent or responsible guardian.

Your updates and preferences

It is important that we keep your personal information up to date. You can contact us at any time if your circumstances change.

It is your choice whether and how you receive information from us about our work, fundraising and ways you get involved. We may use your contact details and personal preferences which you have told us about, which we have derived from cookies (see our section below on cookies), or which we have inferred from your service usage or market research about your profile. You can stop receiving emails or texts by clicking on the “unsubscribe” link in our marketing emails.

You can update your contact preferences by calling us on 01271 325 270 or contacting the enquiries team on enquiries@chsw.org.uk.

We will not use your details for marketing purposes if you tell us not to, however, we will retain your details on our suppression lists to help ensure that we do not contact you.

Registering with the free Telephone Preference Service gives you the opportunity to opt out of receiving unsolicited calls. The Mailing Preference Service will enable you to register to have your name taken off direct mailing lists. 

Where we store your personal data

CHSW is committed to ensuring the security of your information. We have strict physical, electronic and managerial procedures in place to secure and store your personal information. 

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted by our third party payment providers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of this website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to this website; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Data retention

We retain all data collected whilst you continue to actively use our services or until you request us to remove your details from our records.

All data held is protected using up to date industry standard procedures to keep it safe and secure and to prevent loss or unauthorised access.

Access to your personal data

It is your responsibility to ensure that any personal data you have submitted to us is accurate and up to date. To update any information given to us please contact us using the details below.

Under Data Protection Legislation you also have the right to request copies of the information we hold about you for a small administration fee of £10. If you would like to request copies please contact us. If you feel that any data we hold, handle or use is causing damage or distress or if you have any other complaints please contact us and we will endeavour to remove your data.

Disclosing your details to other parties

CHSW does not sell, trade, lease or rent your personal information to other parties without your express consent. Aside from the circumstances below we will not pass your data on to any other party. In the following circumstances we may disclose your information:

  • When you have given your explicit consent to share your data;
  • When we are required to disclose your data in order to provide any service or product that you have requested;
  • When we are legally compelled to disclose to governmental authorities;
  • If CHSW merges with another organisation.

Cookies

We use these to improve the user’s experience of our website, temporarily store data and understand the parts of the website that users are visiting. You can set your browser to not accept cookies, but this may affect the functionality of the website.

Analytics cookies 

These cookies collect information in an anonymous form, including the number of visitors to the site, where visitors come from and the pages they visited, so that we can measure and improve the performance of our site, using a service provided by Google Analytics. Disqus

We use Disqus to administer comments on our blog.

Disqus sets a number of cookies on any page that includes a Disqus comment box. While we have no control over the cookies set by Disqus, they include pieces of information for measuring the number of Disqus users and their activity, including information that links their visits to our website with their Google, Facebook, Twitter or Disqus account if they are signed in to one.

Links and third parties

This policy only applies to CHSW, so when you go through to our partner companies (e.g. to donate or pay in the shop) please read their own privacy policies.

When you make a donation through Text to Donate, your donation will be managed by your network provider in accordance with their terms and conditions and privacy policy.

Changes to this policy

We may amend this policy from time to time, especially if there are any changes to UK or European Data Protection laws. By submitting personal information the customer consents to use of their information as set out in the policy. It is your responsibility to regularly check this policy for any changes or updates
